Traditional Backdrop Headshots or Custom Backgrounds or Both?
Corporate Professional Headshot Station at a Conference San Antonio TX
Case Study. Two Clients. Two Different Goals.
There's no single "best" background for every organization. The right choice depends on how your team plans to use the images. Recently, we worked with two clients who chose completely different approaches.
At the CRH ACM Conference, attendees selected from four custom conference backdrops that reflected the event branding. Each final headshot was professionally integrated into the backdrop of their choice, giving attendees polished images that matched the conference experience while maintaining consistent lighting and quality.
For JHET Architects, the goal was different. Rather than a traditional studio backdrop, they wanted headshots that reflected their workplace and company culture. We photographed their team using softly blurred office backgrounds, creating modern, authentic portraits that immediately connected employees to their environment.
Both approaches were successful because they supported each client's brand, not because one background was better than the other.
That's the real question to ask when planning team headshots. "What background best represents our company?"
Why Gray or White Continues to Be the Standard
A neutral gray backdrop creates consistency across your organization. Whether you're photographing five employees or five hundred, every image feels cohesive.
Gray also offers flexibility. It works well for websites, LinkedIn profiles, Teams profiles & annual reports.
Because it doesn't compete with clothing or branding, gray creates a polished, professional look that stays relevant for years.

When a Custom Background Makes Sense
Not every company wants a traditional studio look. Many organizations want photography that reflects who they are.
Custom backgrounds can include your office interiors (most popular for office headshot days) or soft environmental blur or company colors (popular for conferences).
These backgrounds add context without distracting from the subject. Instead of simply showing who someone is, the image also communicates where they work and what makes the company unique.
The Benefits of Custom Backgrounds
A custom background helps your photography feel intentional.
It can strengthen brand recognition, create a premium, modern appearance, differentiate your company from competitors & match your website design
For companies that have invested heavily in their workplace, using the office as part of the portrait often creates stronger visual storytelling than a standard backdrop.
The Best Option Might Be Both
Many of our corporate clients choose to photograph every employee against a traditional gray backdrop while also creating a second collection with custom backgrounds. This approach gives marketing teams flexibility.
Gray images work well anywhere consistency is critical. Custom environmental portraits become valuable assets for website banners, recruiting campaigns, social media, leadership announcements, award recognitions, speaking engagements
One photography session can provide content for multiple departments across your organization.
We Even Create Custom Digital Backgrounds for you
Another option is photographing your team against gray and adding professionally designed digital backgrounds during post-production. This allows companies to maintain perfect lighting and consistency while creating branded looks that complement their website or visual identity.
Digital backgrounds work especially well when:
• Teams photograph on different days
• Employees work remotely
• New hires are added throughout the year
• Office renovations are underway
The result is a consistent library of images without needing to recreate the same physical environment every time.
Which Background Is Right for Your Company?
There isn't one correct answer. If your goal is timeless professionalism, gray remains one of the best choices available.
If your goal is to strengthen your brand identity and showcase your culture, a custom background may be the better investment.
Many organizations choose both, giving their marketing team maximum flexibility for years to come.
At EM Corporate, we'll help you choose the approach that best fits your brand, your team, and how your images will actually be used.
The best headshot isn't determined by the background.
It's determined by whether the final image helps people trust your business before you've even spoken.
One More Thought: How Background Choice Affects AI Cropping and Website Design. The simple gray backgrounds make subject isolation easy, while custom backgrounds create stronger hero images for websites and recruiting pages. They are different entities and can be integrated in different meaningful ways.

PROJECT SNAPSHOT
Client: Parkhill
Location: Fort Worth, Texas
Industry: Architecture and Engineering
Services: On-site Team Headshots
Setting: Parkhill acquisitionKomatsu in FTW
Goal:
Take excellent care of new employees & create a cohesive collection of team headshots without pulling employees away from their workday for long periods of time
Each person needed individual direction while the entire collection still needed to look consistent across the company website, proposals, LinkedIn profiles, internal communications, and marketing materials
THE CLIENT
Parkhill is a multidisciplinary architecture and engineering firm serving communities across Texas, New Mexico, and Oklahoma. As the firm continued to grow, its new acquisition in Ft Worth needed updated headshots that felt professional, approachable, and consistent with the Parkhill brand.
THE CHALLENGE
Every team includes people with different comfort levels in front of the camera. Some employees arrive ready to go. Others need more guidance with posture, expression, wardrobe, or simply feeling comfortable enough to look like themselves. The session also took place inside an active FTW office. Our process needed to remain organized, efficient, and minimally disruptive to the Parkhill team.
THE EM CORPORATE APPROACH
We created a professional headshot setup inside Parkhill’s new office and we were located in the copy room.
Custom floor markers coordinated with Parkhill’s brand colors and helped each employee step into the correct position quickly. Consistent lighting and camera placement created a unified look across the full team.
Each person received clear direction for posture, expression, and small adjustments that made a visible difference. No one had to guess what to do in front of the camera.
Each person could review their image in person to ensure they approved.
THE RESULT
Parkhill received a consistent collection of professional team headshots ready for use across its website, proposals, recruiting materials, company communications, and individual LinkedIn profiles.

Your photographer needs to understand more than the schedule. They need to recognize important relationships, anticipate key moments, work confidently around executives, and represent your organization professionally.
For this Washington, DC event, EM Corporate provided:

Planning an Event Outside Dallas?
EM Corporate travels nationwide for conferences, leadership events, corporate meetings, and industry celebrations. When consistency, trust, and experience matter, you can bring the right photographer with you.
CASE STUDY: HEADSHOTS + EVENT COVERAGE AT A CORPORATE CONFERENCE
For a recent corporate conference, EM Corporate was brought in to provide both an on-site headshot station and professional event photography.
The goal was bigger than great headshots. The company wanted to give attendees a valuable professional asset while also documenting the people, speakers, connections, and energy of the conference.
THE HEADSHOT EXPERIENCE
Our headshot station was designed to work within the flow of a busy conference schedule.
Attendees received individual coaching on expression, posing, and body position, then reviewed their images and selected their favorites.
The experience was:
• Efficient enough for conference breaks
• Fully guided for attendees
• Consistent across the entire group
• Professionally retouched and delivered after the event
EVENT PHOTOGRAPHY
While the headshot station served attendees, our event coverage documented the conference itself.
We photographed keynote speakers, general sessions, breakout sessions, networking, candid interactions, branded details, receptions, and the moments happening between scheduled events.
This gave the company a library of authentic images featuring their actual people.
Those photographs can continue working long after the conference through social media, internal communications, recruiting, marketing, future event promotion, and company websites.
THE RESULT
One photography team. Two very different business needs.
Attendees walked away with professional headshots they could use immediately. The company walked away with a library of brand-focused event photography that showed its people, culture, and conference in action.
For conference planners, combining a professional headshot station with event coverage can also simplify the photography process. Fewer vendors to coordinate. One team that understands the schedule, brand, priorities, and expectations.
That is exactly how I believe corporate photography should work. Organized, useful, and built around the people you are serving.
Conference planners are always looking for ways to improve attendee experience. If you're planning a conference in Dallas, many organizations combine a conference headshot station with professional event photography to create a complete attendee experience.
Many attendees use their new headshot for LinkedIn and company profiles.
EM Corporate provides conference headshot booths and corporate event photography throughout Dallas-Fort Worth and nationwide.
